ISP Reception Role Profile
Purpose of Role
The purpose of the Administration Assistant role is to provide comprehensive administrative and clerical support to ensure the efficient operation of the office or department. This includes managing communications, maintaining records, coordinating schedules, and supporting staff with day-to-day administrative tasks. The role is essential in enabling the team to function effectively by ensuring that office processes run smoothly and professionally.

Key Responsibilities
- Greeting and welcoming visitors, clients, and employees
- Answering, screening, and directing phone calls
- Responding to emails and general inquiries
- Scheduling appointments and managing calendars
- Checking in visitors and maintaining visitor records
- Handling incoming and outgoing mail and packages
- Maintaining an organized and professional reception area
- Providing basic information about the company, services, or office
- Assisting with administrative tasks such as data entry, filing, and document preparation
- Coordinating meetings, conference rooms, and office supplies
- Communicating with different departments and directing requests appropriately
- Handling confidential information professionally
- Supporting general office operations and other administrative duties as needed
- Provide general administrative support to the team, including typing, filing, scanning, and data entry.
- Manage incoming and outgoing correspondence, including emails, phone calls, and post.
- Maintain and update accurate records, databases, and filing systems (electronic and paper-based).
- Schedule and coordinate meetings, appointments, and room bookings; prepare agendas and take meeting minutes when required.
- Order and manage office supplies, ensuring stock levels are maintained.
- Assist in the preparation of reports, presentations, and other documents.
- Greet and assist visitors and clients in a professional manner.
- Ensure all administrative tasks are carried out in accordance with company policies and data protection regulations.
- Collaborate with other departments to support company-wide administrative needs and special projects as required.Principio del formulario

Skills:
- Strong organizational and time management skills, with the ability to prioritize tasks effectively
- Excellent verbal and written communication skills
- High attention to detail and accuracy in all work
- Proficiency in Microsoft Office applications (e.g., Word, Excel, Outlook, PowerPoint)
- Ability to work independently and as part of a team
- Good interpersonal skills with a professional and approachable manner
- Strong problem-solving skills and the ability to use initiative
- Discretion and confidentiality in handling sensitive information
Qualifications:
- Bachelor´s Degree Lic. Business Administration or equivalent (required)
Experience:
- Previous experience in an administrative role (typically 1–2 years minimum)
- Experience working in a fast-paced office or customer-facing environment
- Familiarity with general office equipment (e.g., printers, copiers, scanners)
