**Event Specialist**

Join our team! The Event Specialist role is a key support function for the Enterprise Sponsorship & Events team. Effectively supporting the Events team by coordinating attendee registration platform, financial, and meeting logistics and processes ensuring all aspects of the events are planned, defined, and executed to the highest of standards. The ability to work as an enterprise, general event team member is essential as the role involves supporting global colleagues to ensure visibility and sharing of best practices.
**About the Role**
In this opportunity as a **Event Specialist**,** you will:
- Coordinate all Finance/Accounts Payable requirements; submit all invoices, POs, credit card transactions, and record/report in Smartsheet project management tool
- Tracking budget for all events and processing event invoice and expense reports in compliance with company policies.
- Mobile Event App (Spot Me and/or Certain Touchpoint); database management of the project plan and populate content for the mobile event app.
- Education/Training Session management for SYNERGY Conferences, and database management.
- Ability to plan and execute events with responsibility for end-to-end delivery and execution with (at times) little to no supervision.
- Ensure creative execution of meetings/events as directed by the event/program management committees. Establish the appropriate tools and processes to meet project goals. Influence event/program stakeholders to make the appropriate decisions and modifications in response to external influences on the event/program.
- Researching event venues and costs for proposed events,
researching branding items and gifts for guests.
- Creation of event project plans and run of events for all associated events. Comfortable using technology tools, such as event registration software, internal websites, and social media to allow for better team documentation, collaboration, and knowledge exchange.
- Participate in or conduct event debriefs following each event and ensure written feedback is documented back to the teams and participants to improve future events.
- Perform other assignments as requested by manager.
**About You**
You’re a fit for the role if your background includes:
- Bachelor’s degree preferred. Equivalent applicable experience may be considered.
- 1-3+ years of events experience with either a corporate or business events team.
- Proficiency in reading, writing and speaking English.
- Experience working in a fast-paced, complex, and dynamic environment.
- Advanced experience with Microsoft Excel and other MS (Microsoft) Office Tools (Word, PowerPoint, Outlook).
- Experience with event technology and tools (i.e., Smartsheet project management tool, Certain/CVENT attendee registration platform, Spot Me/Certain Touchpoint mobile event apps).
- Solid experience with logistics involved with event planning and ability to drive and manage projects to the satisfaction of multiple stakeholders.
- Demonstrated background working in events and projects in a highly matrix,
multiple stakeholder environment.
- Dedicated team player with the ability to work effectively in a global cross-functional team environment and create and maintain strong relationships both internally and externally.
- Excellent verbal and written communication skills with ability to communicate at various levels. Frequent interaction, communication, and coordination with executives both inside and outside the company with the ability to handle confidential matters and information with discretion.
- Self-motivated with a proactive attitude who works with urgency, drive, and enthusiasm. High level of personal and professional integrity; confident, trustworthy, polished, and well-organized.
- Passion for taking initiative with meticulous attention to detail and ability to work without supervision while balancing competing demands and changing priorities.
- Strong project management and documentation skills with ability to create detailed event project plans and run of events.
- Strong interpersonal skills including negotiation, listening, judgment, problem solving, analytic ability, and conflict management skills.
- Ability to manage multiple tasks in a fast-paced and changing environment.
- Demonstrated negotiation skills in the meeting/hospitality industry.
- Strong financial acumen, including solid analytical, judgment and decision-making skills.
- Ability to recognize and suggest process improvements.
- Flexible approach to working hours; may include some occasional nights and weekends.
- Ability to travel, as required.
