The AEC Process Optimization Manager is responsible for driving operational efficiency transformation at G7 MX through the analysis, design, implementation, and continuous improvement of the company's internal processes. This strategic role involves optimizing workflows, managing information flow, standardizing procedures, and implementing continuous improvement methodologies, all with the goal of increasing productivity, reducing costs, and enhancing the quality of project execution. The AEC Process Optimization Manager will work closely with various departments across the company, from Executive Management to field operations teams, to ensure process alignment with G7 MX's strategic objectives and to foster a culture of operational excellence.
**Detailed Responsibilities and Obligations**:
**1. Process Analysis and Optimization**:
- **AEC Process Mapping and Documentation**:
- Map and document existing processes across the AEC project lifecycle:
- Tendering and Award
- Design and Planning
- Procurement and Contracting
- Construction Execution
- Cost Control and Budgeting
- Quality and Safety Management
- Project Closeout and Handover
- Utilize process modeling tools and techniques (BPMN, flowcharts, etc.) to visually represent workflows.
- Identify process interdependencies and interfaces.
- **Efficiency and Performance Analysis**:
- Analyze the performance of existing processes, identifying:
- Inefficiencies (delays, bottlenecks, rework)
- Waste (unnecessary movement, overproduction, defects)
- Variability (lack of standardization, inconsistent outcomes)
- Risks (potential failures, non-compliance, losses)
- Employ data analysis tools and time measurement techniques to quantify the impact of inefficiencies.
- **Design and Implementation of Improvements**:
- Design and implement new or improved processes,
considering industry best practices and G7 MX's specific needs.
- Define improvement objectives (e.g., cycle time reduction, cost reduction, quality enhancement) and establish success metrics.
- Develop detailed implementation plans, including responsibility assignments, resource allocation, and project schedules.
- Communicate and train personnel on new or improved processes.
- **Standardization and Control**:
- Standardize key company processes to ensure consistency and quality in task execution.
- Define control points and tracking mechanisms to ensure process adherence.
- Implement quality management systems (e.g., ISO 9001) to drive continuous process improvement.
**2. Implementation of Tracking Systems**:
- **Key Performance Indicator (KPI) Definition**:
- Define relevant and measurable KPIs for each business area (projects, procurement, inventory, etc.).
- Ensure KPIs are aligned with G7 MX's strategic goals.
- Establish mechanisms for KPI data collection, analysis, and reporting.
- **Development of Tracking and Control Systems**:
- Develop and implement tracking and control systems to monitor process performance and KPI achievement.
- Utilize project management software, advanced spreadsheets, and dashboards to visualize and communicate project and operational status.
- Implement early warning systems to identify and address deviations from plans.
- **Data Tracking and Analysis**:
- Regularly track KPI data and analyze trends.
- Identify root causes of deviations and propose corrective actions.
- Prepare performance reports for Executive Management and relevant departments.
**3. Process Standardization**:
- **Standard Operating Procedure (SOP) Development**:
- Develop and document clear and concise SOPs for critical company tasks.
- Ensure SOPs comply with applicable regulations and standards.
- Maintain up-to-date SOPs and make them readily accessible to all personnel.
- **Training and Communication**:
- Train personnel on SOP implementation and usage.
- Clearly communicate the benefits of standardization and promote SOP adoption.
- Address employee questions and provide ongoing support for SOP adherence.
- **Review and Improvement**:
- Periodically review SOPs for relevance and effectiveness.
- Incorporate best practices and lessons learned into SOP improvements.
- Solicit employee feedback on SOPs and implement necessary adjustments.
**4. Information Management**:
- **Information Organization System Design**:
- Design systems for organizing, storing, and accessing project and company information.
- Define classification criteria and metadata to facilitate information retrieval.
- Ensure information integrity, confidentiality, and availability.
- **Implementation of Document Management and Collaboration Tools**:
- Implement document management systems (DMS), online collaboration platforms, and other tools to streamline information access, sharing, and teamwork.
- Configure and administer document management and collaboration tools.
- Train personnel on tool usage.
