Xylem is seeking an Assistant Indirect Operational Buyer with strong Excel skills and knowledge of Coupa (preferred) to support procurement operations.
This role focuses on managing indirect requisitions, purchase orders, supplier relations, and procurement compliance to ensure efficient and compliant buying processes.Indirect Operational Assistant Buyer:Under direction of the operational buyers Provide support:Convert purchase requisitions (PR) to purchase orders (PO) and obtain General Category Manager (GCM) approvalProcess indirect requisitions ensuring use of preferred vendors and contract pricingDispatch POs to vendors and update them as needed based on vendor changes or cancellationsResolve product or service issues related to indirect purchasesGuide business users on preferred suppliers, contracts, and compliant procurement channelsIdentify opportunity to establish hosted catalogs based on buying trends to identify the need for all catalog types/streamlined buying opportunitiesIdentify orders for Coupa Card and guide usersNegotiate costs,
launch RFQ's and reward business to strategic supply baseReview and approve new vendor creation requests based on business casesCoordinate with logistics teams to manage shipment of indirect goodsOrganize team meetings and Analytics reviewMRO and overall procurement overflow supportReview opportunities for process alignmentMain connection between accounts payable to review root cause of blocked invoicesSupport maintenance of supplier catalogs, PIR updates, and contract loading in collaboration with Coupa ManagerUpdate supplier matrix under category manager direction as requiredCollaborate with Coupa Manager to drive supplier onboardingAssist the Coupa helpdesk with invoice reconciliation, including follow-up with buyers and accounts payable for approvals and discrepancy resolution, focusing on PR to PO matchingQualifications:Strong proficiency in Microsoft Excel for data analysis and reportingExperience with Coupa source to pay platform is a strong plus or similar platformSolid understanding of indirect procurement processes and supplier managementExcellent communication skills to collaborate with internal stakeholders and vendorsDetail-oriented with strong organizational skills
