**Description**:
The Project Coordinator’s primary responsibility is to provide solid and proactive support to the Project Manager in the overall management of the projects they are assigned. The Project Engineer is responsible for collecting and analyzing relevant information on the progress of field operations, facilitating fluid communication between work teams while reporting to the Project Manager. This role includes preparing periodic reports and updating schedules, actively participating in expense tracking and budget management, and reporting project costs status.
**Specific objectives**:
- Perform tasks, duties and responsibilities as directed by the Project Manager.
- Track scope, budget, schedule, and resources.
- Utilize durations from Estimating to coordinate schedules with General Contractors.
- Review schedule durations with Project Manager.
- Work in coordination with Superintendents and subcontractors to ensure timely completion of projects.
- Schedule and attend meetings with contractors to update and address project concerns.



Prepare meeting notes and documentation for the project manager prior to meetings.
- In the absence of the Project Manager, travel to California and conduct periodic on-site and/or field meetings to communicate project updates and address concerns.
- Maintain compliance with health, safety, and environmental regulations.
- Maintain contract compliance and support dispute resolution as they arise.
- Maintain detailed project documentation, including contracts, change orders, and reports.
- Ensure adequate record keeping for regulatory compliance.
- Collaborate with the Superintendent to ensure construction meets industry standards and specifications.
- Attend field meetings with stakeholders as needed.
**Specific tasks or activities**:
1. Planning and Coordination
- Confirm attendance and issues to be discussed at meetings with the Project Manager (PM) and the Supervisor (Superintendent).
- Participate in regular meetings with the General Contractor to discuss project scheduling.
- Organize and coordinate the tasks of subcontractors together with the Project Manager.
- Request a detailed schedule covering the next three weeks from the General Contractor.
- Manage and update the project schedule.
- Create the Survey Request and send it to the contractor
2. Communication and Coordination
- Prepare weekly reports detailing the quantities of material and work performed.




- Create and maintain a list of key HLE (High Light Electric) contacts for the General Contractor in collaboration with the Project Manager.
- Write serial letters that can be used for formal communication.
- Prepare a monthly report summarizing the amounts of work performed and a cost analysis.
3. Project Documentation Management
- Manage the lifecycle of the corresponding documentation for each of the projects in ClickUp and PROCORE (USA Tickets, RFI, DCR, METS, etc.)
- Monitor the USA ticket system to identify issues or pending requests.
- Manage and update tasks related to the Project Final Estimate (PFE) in ClickUp and PROCORE.
- Create a task in ClickUp and PROCORE to manage RFI tracking and store relevant information in SharePoint.
- Create the respective submittals for each project in collaboration with the Project Manager.
- Creation of Change Order Management together with the Project Manager.
4. Quality Control and Collaboration with the FIELD
- Monitor and review the quality of daily work based on the record of daily reported hours (DCR).
- Review and update plans based on work actually performed on site (ASBUILTS).
- Prepare and submit requests for quality reviews by the Materials and Equipment Survey System (METS).
- Generate a list of all submissions made and document Quality Verified (QV) specifications.
5. Cost Management and Control.
- Request and follow up with the Project Manager on quotes for the acquisition of additional materials for work (Extra Work Material Order, EWB)
- Supervise and manage, together with the Project Manager, the balance and details of purchase orders (PO) and materials, tools, and equipment (MPO).
- Verify and approve invoices related to the purchase of materials and prepare cost analys
