GH Logistics is a growing freight brokerage and asset-based logistics company specializing in dry van and reefer freight. Our strength comes from reliable transportation partnerships, disciplined execution, clean communication, and strong operational control across our network.
As our trailer operation continues to expand, we are looking for a Trailer Operations Specialist to support the recurring, high-volume work behind our Trailer Management Team. This role is responsible for keeping trailer records complete, following up on off-network equipment, documenting repairs, compiling chargeback files, reconciling vendor invoices, and ensuring open exceptions are followed through to resolution.
This is a hands-on operations role focused on execution, accuracy, and follow-through. You will not be responsible for making financial decisions, defining operational policy, or performing physical trailer repairs. Your job is to make sure the underlying work and documentation are completed correctly so the appropriate team members can make decisions using reliable information.
Role Overview
The Trailer Operations Specialist supports day-to-day trailer tracking, retrieval, repair documentation, invoice reconciliation, chargeback preparation, and exception management.
You will work closely with carriers and internal teams to maintain accurate trailer records, chase unresolved trailer issues, organize repair information, and close operational gaps that can otherwise lead to lost equipment, unnecessary repair costs, towing or impound expenses, and incomplete carrier billing.
The defining trait for this position is high-volume follow-through. We are looking for someone who does not simply identify an issue and leave it flagged. You are expected to follow the issue through, document every step, escalate it when required, and ensure the final record is complete.
This role is strictly for fluent English speakers, as the position requires regular phone and written communication with carriers and U.S.-based internal teams.
What You’ll Be Doing
Trailer Tracking and Record Accuracy
- Reconcile the active trailer pool against the master trailer list
- Identify and flag stale, missing, dark, or overdue trailer records
- Maintain daily exception lists organized by aging
- Record trailer dock assignments versus the trailer actually spotted at each location
- Verify outbound trailer lists for correct header and row counts, duplicate trailer numbers, trailers appearing in conflicting statuses, and missing or inconsistent information
- Route trailer-number discrepancies to the appropriate internal team for cross-reference
- Maintain clean and accurate trailer records throughout the shift
- Complete daily tracking work before established operational deadlines
Trailer Retrieval and Carrier Follow-Up
- Contact carriers by phone and email regarding trailers that are off-network or overdue
- Maintain a complete contact log showing for date of contact, carrier or individual contacted, communication method, commitment or response received, and required next action
- Track how many days each trailer has remained off-network
- Maintain weekly aging reports and increase follow-up on significantly overdue equipment
- Escalate non-responsive carriers once established thresholds are reached
- Confirm recovered trailers are properly returned to the active trailer pool
- Continue following each retrieval case until it is resolved rather than stopping after the first contact attempt
Chargeback Documentation
- Compile complete documentation packages for potential carrier chargebacks
- Gather the appropriate trailer/unit information, carrier information, dates and timeline, photos, source documentation, and supporting cost information
- Calculate potential amounts using company-approved rates and guidelines
- Submit completed files to the appropriate decision-maker for review
- Track submitted chargeback files through closure
- Maintain a register of carrier-related exposure and repeat issues
- Ensure supporting documentation is complete before handing a file off
Repair Documentation and Invoice Reconciliation
This role prepares and documents chargebacks but does not independently decide whether a carrier will be charged.
- Convert trailer repair updates from Telegram and other operational communication into structured records
- Record key repair information including trailer/unit number, reported defect, date opened, work performed, vendor, date closed, and supporting photos
- Track repair intake and release times by trailer and vendor
- Maintain complete repair histories so previous work can be referenced when issues repeat
- Compare vendor invoices against the work that was actually authorized
- Identify discrepancies between authorized repairs and invoiced repairs
- Flag duplicate, unsupported, or questionable charges for review
- Escalate invoice discrepancies to the appropriate owner rather than approving or rejecting costs independently
- Confirm documentation exists showing required release conditions were completed before a trailer returns to service
This is not a mechanic position. You will document and reconcile repair activity, but physical inspections, diagnostics, preventive maintenance, brakes, tires, structural repairs, and other hands-on maintenance work are handled by on-site maintenance personnel.
Exception Management and Follow-Through
- Work the open exception queue every day
- Identify what is still unresolved and who currently owns the next action
- Follow up consistently until items are closed or properly escalated
- Maintain an accurate open-items list
- Provide clear written updates on:
- What was completed
- What remains open
- What is blocked
- Who is responsible for the next step
- Provide a weekly execution summary for leadership
- Ensure open issues are not lost between shifts, teams, carriers, or systems
What Success Looks Like
- Trailer records are complete, accurate, and consistently updated
- Daily dark, overdue, and exception lists are maintained without prompting
- Carrier follow-up records show every contact attempt and commitment clearly
- Off-network trailers are actively pursued instead of remaining untouched for extended periods
- Long-aging trailer cases are visible and escalated before they create unnecessary towing, impound, or recovery costs
- Repair information is converted from chats and messages into structured, usable records
- Vendor invoices are consistently matched against authorized work
- Invoice discrepancies are identified and escalated before they become larger issues
- Chargeback files contain complete supporting documentation before handoff
- Open exceptions are actively worked toward closure
- Daily and weekly operational cycles are completed consistently
- Records are reliable enough that another team member can use them without having to re-check the underlying work
The ultimate goal is simple: the record should be accurate enough to be trusted without someone else having to verify your work again.
Who We’re Looking For
- Fluent in both English and Spanish
- Have previous experience in freight, fleet operations, transportation, trucking, or logistics
- This should not be your first logistics role
- Strong Excel skills for operational work, including filters, sorting, Lookups, Cleaning raw exports, removing duplicates, and maintaining accurate high-volume data
- Comfortable working with large spreadsheets and repetitive operational records
- Highly organized and detail-oriented
- Able to handle high-volume follow-up without losing track of open items
- Comfortable contacting carriers repeatedly until an issue is resolved
- Able to have firm and professional conversations regarding overdue equipment and financial exposure
- Strong written documentation skills
- Able to clearly record what happened, when it happened, who was contacted, and what happens next
- Comfortable identifying inconsistencies and escalating them rather than making assumptions
- Able to follow established thresholds, policies, and escalation procedures precisely
- Follows instructions consistently and executes with accuracy
- Team-oriented, coachable, and open to feedback without ego

Preferred experience includes:
- TMS platforms such as LoadStop, Monarch, or similar systems
- Samsara or comparable telematics platforms
- Fleetio or comparable fleet/maintenance software
- Carrier invoicing

- Fleet or maintenance recordkeeping
- Cross-border trucking operations
The position specifically requires bilingual English/Spanish communication, execution level Excel skills, previous freight/fleet/transportation experience, reliable connectivity, and a strong follow-through mentality.
Schedule and Work Setup

- Guadalajara candidates will also be considered
