**Executive Assistant / Administrative Coordinator**
**Full-time | Fluent in English | Monterrey, N.L. | On-site**
We are seeking a **highly organized and proactive Executive Administrative Assistant** to support our growing **Texas Team**. This role requires someone who can anticipate needs, take initiative, and manage multiple priorities with professionalism and discretion.
You will be a key player in ensuring smooth day-to-day operations — from executive support and administrative coordination to recruitment and event planning.
**Key Responsibilities**
**Executive & Operational Support**
- Provide high-level administrative support to the company CEO.
- Manage complex calendars, meetings, and travel arrangements (domestic & international).
- Coordinate team meetings, office events, and customer appreciation activities within budget.
- Follow up on action items and ensure completion on behalf of leadership.
- Handle phone calls, correspondence, and office supplies efficiently.
- Assist operations with scheduling deliveries and maintaining client databases.
- Collaborate with the Marketing Manager on internal and external initiatives.
**Administrative & Office Management**
- Develop and improve administrative systems for greater efficiency.
- Manage vendor relationships (office rental, insurance, electricity contracts, etc.).
- Maintain accurate filing systems and handle scanning, mailing, and documentation.
- Support financial administration tasks, including QuickBooks entries and expense tracking.
**Recruitment & HR Coordination**
- Post job openings on Indeed, LinkedIn, and Facebook.
- Prepare job offers and employment contracts.
- Support onboarding and maintain recruitment metrics (time-to-hire, source of hire, etc.).
**Other Duties**
- Handle confidential information with integrity.
- Support company projects and administrative initiatives as needed.
**Qualifications**
- Bachelor’s Degree required.
- Proficient in **QuickBooks, Excel, Word, and Google Workspace**.
- **Fluent in English** (written and spoken).
- Strong organizational and multitasking skills.
- Excellent communication and problem-solving abilities.
- Detail-oriented, deadline-driven, and proactive.
- Willingness to travel occasionally to the U.S. for meetings.
- Positive, collaborative, and coachable attitude.
