New Patient Coordinator (English/Spanish)

Our Multi Specialty Clinic is seeking a detail-oriented and compassionate New Patient Coordinator to join our team. This role is essential in ensuring that every patient begins their care journey with an accurate, complete, and timely registration process.

As a New Patient Coordinator, you will be responsible for receiving referrals from multiple sources, reviewing documentation for completeness, creating new patient charts within our Electronic Health Record (EHR/EMR) system, and coordinating with referral sources and insurance representatives to obtain any missing information.

Key Responsibilities

- Receive and process new patient referrals from healthcare providers, attorneys, insurance companies, and other referral sources.
- Create accurate patient charts within the Electronic Health Record (EHR/EMR) system.
- Verify patient demographics, insurance information, claim details, and referral documentation.
- Contact referral sources, insurance adjusters, medical offices, and patients to obtain or clarify missing information.
- Ensure all required documentation is complete before patient scheduling and care initiation.
- Maintain productivity and quality metrics while meeting departmental turnaround times.
- Document communications and updates accurately within the patient's medical record.
- Collaborate closely with Scheduling, Case Management, Medical Records, and other departments to ensure a seamless patient onboarding process.
- Maintain strict confidentiality and comply with HIPAA and company privacy standards.




- Perform additional administrative duties as assigned.

Qualifications

Required

- Excellent command of the English language (C1, C2, spoken, written, listening)
- Excellent attention to detail and organizational skills.
- Computer proficiency and ability to navigate multiple software applications simultaneously.
- Excellent communication and customer service skills.
- Ability to prioritize tasks and manage a high-volume workload.

Preferred

- Previous experience in patient registration, medical front office, medical records, referrals, or healthcare administration.
- Experience working with Electronic Health Records (EHR/EMR).
- Familiarity with insurance claims, workers' compensation, personal injury, or medical referrals is highly desirable.
- Medical terminology knowledge is a plus.
