**About the Role**:We are seeking a Construction Project and Bid Coordinator to join our newly established remote support team in Querétaro, Mexico.This role is instrumental in supporting U.S.based projects and project managers by managing documentation, coordinating procurement and scheduling activities, and ensuring the consistent use of construction management tools.This is a great opportunity for a proactive and detail-oriented professional looking to grow within the construction industry.
**Key Responsibilities**:- Bid & Contract Support:_- Coordinate and prepare bid packages, ensuring timely and accurate submission.
- Track subcontractor bids for completeness, cost-efficiency, and compliance with requirements.
- Project Coordination:_- Maintain project records including contracts, drawings, specifications, RFIs, submittals, change orders, and meeting minutes.
- Set up and manage document control workflows using RedTeam.
- Ensure consistent file naming, version control, and document access for project stakeholders.
- Cost & Schedule Management:_- Prepare and process customer pay requests and project billing.
- Support project scheduling in collaboration with project managers and superintendents.
- Procurement & Material Expediting:_- Assist in coordinating vendor communication and purchase order creation.
- Monitor material deliveries and track quantities against project needs.
- Update material tracking logs to minimize delays.
- Communication and Team Collaboration:_- Maintain effective communication with owners, clients, subcontractors, and internal teams.
- Participate in project meetings, providing administrative support and updates.
**Qualifications**:- Minimum 2 years of experience in a project coordination or administrative role in the construction industry.
- Bachelor's degree in construction management, Civil Engineering, Architecture or a related field (preferred).
- Familiarity with construction workflows, terminology, and documentation.
- Experience with Procore, RedTeam, Smartsheet, or other construction/project management platforms.
- Proficiency in English and Spanish**Skills and Abilities**:- Strong organizational and time-management skills.
- Effective verbal and written communication in both English and Spanish.
- Proficient in Microsoft Office (Word, Excel, Outlook, Teams) and project management software.
- Detail-oriented with strong problem-solving abilities.
- Ability to work independently and as part of a cross-functional team.
- Adaptability in a fast-paced, deadline-driven environment.
