**Job title**: Assistant Program Manager (Latin America)
**Contract Duration**: 12 months ( with possibility of extension)
**ABOUT IWPR**:
Founded in 1991 and operating currently in three dozen countries around the world, the Institute for War and Peace Reporting (IWPR) is an independent non-profit organisation that supports journalists and civil society to help drive change in countries experiencing conflict, crisis, and transition. Our work includes:
- Training and mentoring: IWPR trains and mentors journalists and rights activists to improve their ability to identify and present factual information.
- Providing platforms: IWPR helps local talent establish and strengthen media outlets and civic groups.
- Removing barriers: IWPR works with partners to remove barriers to free expression and citizen engagement
- Strengthening media and civil society: IWPR helps strengthen the ability of media and civil society to speak out.
- Empowering societies: IWPR helps societies find their own solutions.
IWPR’s reporting has exposed violations, led to political and legal reform, and improved people’s lives.
**SUMMARY**:
The project aims to support civil society initiatives in Latin American countries focused on strengthening democracy and combating censorship. The Assistant Program Manager will have program management experience and will demonstrate deep knowledge of the project cycle, including program objectives, subawards, timelines, budget, and other key project components, as well as U.S. government donor policies and become familiar with IWPR’s own policies. The Assistant Program Manager will support the Chief of Party to oversee project implementation, with specific duties in terms of ensuring activities are implemented in a timely manner and on budget, preparing subaward, contract and procurement documentation,



monitoring deliverables, resolving beneficiaries’ inquiries and requests, following organizational policies, guiding project staff on compliance matters, contributing to donor reports and presentations, assisting in development needs, facilitating meetings, organizing the logistics of travel and events, supporting area directors in identifying solutions, and other project management tasks as needed.
The Assistant Program Manager will report to IWPR’s Organizational Development Manager and will coordinate with the project team, consultants, and grantees.
**ESSENTIAL DUTIES AND RESPONSIBILITIES**:
**Financial Management and Administration**:
- Collaborate to ensure project activities are implemented promptly, within budget, and according to expected quality standards.
- Report activities to the Chief of Party, promptly identifying any delays or difficulties that could hinder the execution of the project.
- Supporting cash flow forecasting processes.
- Ensure proper financial management of the project by making payments according to the established plan and policies, documenting disbursements in the corresponding trackers.
- Cooperate and oversee that consultants and others comply with IWPR policies and procedures.
- Document processes as needed and keep the documentation organized and constantly updated.
- Keep project folders updated and organized so that they are always audit-ready.




- Contribute to ensuring proper working conditions, considering the safety of consultants and beneficiaries.
- Support in the logistics, and necessary procurements of travel, accommodation, meeting room and others, necessary for project events, in accordance with IWPR policies.
**Grants Management**
- Maintaining accountability for updating grants/contracts trackers with relevant information.
- Reviewing grantee/contractor reports and documents for compliance, accuracy, and readability.
- Providing support for grants/contract portfolio analytics through data provision and entry.
- Adapting established grants management systems for program implementation.
- Managing relationships with grantees and other stakeholders in the field to ensure successful implementation.
- Collaborating in the construction, maintenance, and assessment of grantmaking portfolios on a monthly and quarterly basis.
- Support delivery of call for proposals throughout program implementation.
- Contribute to proposal screening, processing and selection for the various calls for proposals.
- Support the Chief of Party to ensure that all aspects of grant management are fully compliant with U.S.
**Government regulations**
- Support budget assessment, due diligence, grants agreements and reporting.
- Monitoring grant payment schedules and comparing vigente grant spending against budgets.
- Cooperate to ensure that grant commitments are met and delivered according to the work plan, budget, and project timeline while maintaining the overall quality of the work.
- Cultivate good relationships with current and potential beneficiaries, partners, and donors.
- Undertake other duties that may be reasonably requested by the Organizational Development Manager or
