What this job involves
We are currently seeking a dynamic individual for the role of Analyst to join our team:
- Location: CDMX
- Work schedule: Monday to Friday, 9:00 am to 6:00 pm.
What is your day to day?
- Project Management and Coordination: - Drive project success by coordinating activities from initiation to completion, ensuring deliverables meet budget, scope, and timeline requirements.
- Collaborate with diverse stakeholders to facilitate seamless project execution and effective communication.
- Prepare and maintain comprehensive project documentation, including schedules, budgets, and progress reports.
- Conduct research and analysis to support decision-making, identifying potential risks and opportunities.
- Coordinate and facilitate project meetings, workshops, and presentations, managing all logistics and materials.
- Assist in procuring and managing project resources, including equipment,
materials, and subcontractors.
- Support the project team in resolving issues, demonstrating a solution-oriented mindset.
- Update project information in Project Link, maintaining accurate project status.
- Financial Management and Analysis: - Review project forecasts and accruals, preparing account-level analysis and reporting.
- Conduct monthly variance analysis (MTD, QTD, YTD) and assist with quarterly QBR reporting.
- Prepare and review actuals reports, ensuring accuracy and timely delivery.
- Upload forecasts in Fusion and craft detailed commentaries.
- Generate comprehensive forecast reports for stakeholder review.
- Assist with project financial audits, closeout reconciliation, and compliance requirements.
- Monitor project financial performance, tracking expenses and maintaining accurate budget records.
- Support NORAM team on Contract Manager, ensuring proper contract administration.
- Sourcing and Procurement: - Manage MS Direct vendor setup and provide invoice support for T2.
- Prepare project Purchase Orders using client tools (e.g., Project Link) and JLL tools (E1/Spend).
- Offer comprehensive contract support, including review and administration.
- Negotiate with vendors and suppliers to ensure best value for projects.
- Process Improvement and Reporting: - Collaborate on developing efficient reporting strategies, focusing on automation and process simplification.
- Contribute to the development and distribution of best practices and process documentation.
- Complete regular and ad-hoc reporting, including internal and client-ready documents, reports, and presentations.
- Utilize Microsoft Teams and Shared Drive for efficient data collection, reporting, and team communication.
- Stakeholder Management and Communication: - Engage with clients, consultants, and contractors throughout the project lifecycle.
- Provide regular updates to all relevant parties on project status and progress.
- Prepare and deliver formal and informal reports for both internal and client use.
- Risk Management and Team Support: - Identify potential risks and develop mitigation strategies to ensure project success.
- Support in reviewing, negotiating, and administering contracts with vendors and suppliers.
- Assist with PM onboarding, providing guidance on finance, sourcing, procurement, and project tools/processes.
- Offer documentation and process support for Project Expense Reports (PER) and prefunding.
- Maintain accurate project documentation, including project plans, status reports, and meeting minutes.
Required qualifications:
- Bachelor's degree in architecture, engineering, construction management, or related field.
- 2-4 years of experience in project management or related roles within the real estate industry.
- Strong organizational and time management skills, with the ability to prioritize and multitask effectively.
- Excellent communication and interpersonal skills, with the ability to build strong relationships with both internal and external stakeholders.
- Proficiency in project management software and tools.
