The Fleet Coordinator is responsible for the day-to-day management and coordination of the organization's vehicle fleet. This role ensures that vehicles are properly maintained, compliant with applicable regulations, cost-effective, and available to support operational needs. The Fleet Coordinator works closely with drivers, vendors, and internal stakeholders to ensure smooth and efficient fleet operations.
Key Responsibilities
Coordinate daily fleet operations, including vehicle assignment and scheduling
Monitor vehicle maintenance, inspections, repairs, and service intervals
Maintain accurate and up-to-date fleet records, including registration, insurance, maintenance logs, mileage, and fuel usage
Ensure compliance with local, state, SRE, and federal transportation regulations
Coordinate with vendors and service providers for repairs, fuel management,
and TAG administration
Track and manage fleet-related costs and support budgeting and cost-reduction initiatives
Investigate vehicle incidents, accidents, and insurance claims, ensuring proper documentation and follow-up
Communicate with drivers regarding vehicle usage, policies, and safety procedures
Support fleet safety programs and ensure driver compliance with internal policies
Assist with procurement, replacement, and disposal of fleet vehicles
High school diploma or equivalent (Associate's or Bachelor's degree preferred)
3–5 years of experience in fleet management, logistics, transportation, or a related field
Experience working with vendors and managing operational processes
Skills and Competencies
Strong organizational and time management skills
Proficiency in Microsoft Office
Basic knowledge of vehicle maintenance and mechanical concepts
Familiarity with transportation
Excellent communication and interpersonal skills
Strong problem-solving and analytical abilities
