Position Description

This position is currently 100% remote. However, the selected candidate must be available and willing to transition to a hybrid or in-office work arrangement in the coming months based on the company's operational and business needs. Any changes to the work arrangement will be communicated with reasonable advance notice.

We are seeking a highly organized and proactive Project Manager to join our U.S.-based digital marketing agency. This role serves as the central point of coordination between clients, internal teams, and leadership, ensuring projects are executed efficiently, deadlines are met, and communication remains clear throughout every stage of the project.

The Project Manager is responsible for translating business objectives into actionable plans, coordinating multidisciplinary teams, managing client relationships, and overseeing the successful delivery of marketing initiatives. This role also supports sales follow-up activities, ensuring a smooth transition from prospect to active client while maintaining an exceptional customer experience.

KEY RESPONSIBILITIES

Project Management & Operations

- Receive projects from the Director after prioritization and translate them into actionable tasks within Odoo.
- Build project timelines, assign responsibilities, establish deadlines, and monitor overall progress.
- Coordinate multiple marketing projects simultaneously while ensuring quality standards and timely delivery.
- Identify potential risks, delays, or resource conflicts and proactively implement solutions.
- Monitor team workload and adjust priorities when necessary.
- Maintain accurate project documentation, timelines, and status updates.
- Report project progress, challenges, and key milestones to leadership.

Client Communication & Relationship Management

- Serve as the primary point of contact between clients and the agency throughout the project lifecycle.
- Schedule and lead project meetings, discovery sessions, and follow-up calls.
- Gather client briefs, objectives, requirements, and feedback.




- Communicate project progress, timelines, deliverables, and expectations.
- Manage revisions, approvals, and scope changes while maintaining excellent customer service.
- Build long-term client relationships focused on satisfaction, retention, and business growth.

Creative Team Coordination

- Coordinate and supervise internal creative teams, including Graphic Design, Video Production, Social Media, Website Development, SEO, and Paid Media.
- Ensure each department receives complete project information and deadlines.
- Review deliverables before client presentation to ensure quality standards are met.
- Facilitate communication between departments to keep projects moving efficiently.
- Resolve operational bottlenecks and ensure accountability across teams.

Sales Follow-Up

- Follow up with qualified leads generated for Otro Nivel Marketing.
- Coordinate meetings between prospective clients and the sales team.
- Track opportunities through the CRM and maintain updated sales records.
- Follow up on proposals, pending opportunities, and client communications.
- Coordinate client onboarding after contract approval.
- Identify upselling and cross-selling opportunities with existing clients.
- Provide leadership with updates regarding pipeline status and sales activity.

Process Improvement & Reporting

- Maintain accurate project information within Odoo and other management platforms.
- Develop and improve internal workflows and project management processes.
- Generate project reports, status updates, and performance metrics.
- Ensure projects remain organized, documented, and aligned with agency standards.

QUALIFICATIONS





- Bachelor's degree in Marketing, Business Administration, Communications, Project Management, or a related field.
- 2+ years of experience in Project Management, Account Management, Marketing Operations, or similar roles.
- Experience managing multiple projects simultaneously.
- Experience working directly with clients.
- Strong organizational and planning skills.
- Excellent verbal and written communication in English.
- Ability to work independently and collaboratively.
- Strong problem-solving and decision-making abilities.
- Customer-focused mindset.

PREFERRED EXPERIENCE

- Digital Marketing Agency.
- Marketing Operations.
- Client Success or Account Management.
- CRM platforms.
- Odoo or similar ERP/project management software.
- Asana, Monday.com, ClickUp, Trello, Jira, or similar platforms.
- Google Workspace.
- Slack.
- Understanding of SEO, Paid Ads, Social Media, Web Design, Branding, and Digital Marketing workflows.
