This position reports jointly to the two Senior Vice Presidents of Integral Litigation.
Primary Responsibilities
The specific responsibilities include, but are not limited to the following:
- Generally, manage documents and data in connection with claims and matters handled by the Litigation Department, from identification through production.
- Conduct electronically stored information (ESI)
searches and obtain the IT access required to locate, collect, and review data relevant to litigation across company systems. Collect ESI in a defensible, forensically sound manner and maintain chain-of-custody documentation.
- Administer and maintain litigation databases and document repositories, ensuring data integrity, organization, and accessibility.
- Issue, track, and release legal hold / preservation notices and maintain custodian and hold tracking logs.
- Coordinate with IT and custodians to map data sources and identify potentially relevant ESI across email, file shares, mobile devices, and cloud systems.
- Mark, label, and produce documents in required formats (e.g., Bates numbering, load files) while maintaining metadata integrity and all applicable privileges.
- Prepare basic timeline/chronology summaries of substantive evidence available in data collection efforts, flagging any critical gaps.
- As necessary, coordinate with e-discovery vendors for large-scale data processing, hosting, and review as needed.
- Assist with general administrative tasks, including calendaring as necessary, file management, and monitoring file tasks and deadlines.
Qualifications
- Bachelor’s degree or equivalent experience; paralegal certificate or coursework in litigation or e-discovery a plus.
- Minimum 2–3 years of experience in litigation support, e-discovery, or legal document/data management, preferably in a corporate legal department or law firm.
- Working knowledge of the e-discovery lifecycle (EDRM): identification, preservation, collection, processing, review, and production of ESI.
- Preferred experience with e-discovery or document review platforms (e.g., Relativity, Everlaw, Logikcull) and familiarity with legal hold and case management systems.
- Understanding of legal hold and document preservation obligations and proper handling of privileged and confidential information.
- Proficiency in M365, SharePoint, and Salesforce with comfort working across large data sets.
- Excellent organizational skills, strong attention to detail, and the ability to manage deadlines across multiple matters simultaneously.
- Advanced English level (spoken and written).
- Ability to coordinate cross-departmentally with IT, Operations, HRIS, and other internal stakeholders, as well as outside counsel and various administrative agencies, as applicable.
- Self-motivated, proactive, and dependable, with a strong sense of ownership and discretion when handling sensitive information.
