Role Overview: The Billing Assistant plays a vital role in supporting a fast paced legal billing operation by ensuring accuracy, consistency, and professionalism. This role is adecuado for someone who enjoys working with detailed financial records while also engaging directly with clients in a calm and solution focused manner. On a daily basis, the Billing Assistant collaborates closely with attorneys and internal teams to maintain trust balances, prepare invoices, and resolve billing questions with care and discretion. Success in this role comes from being highly organized, comfortable handling sensitive conversations, and confident working independently in a remote environment. Candidates who thrive here enjoy structure, value precision, and take pride in delivering clear and reliable billing support.
Schedule
Monday to Friday from 9:00 AM to 6:00 PM EST (USA)
Your Responsibilities Will Include but Are Not Limited To:
- Handling a mix of inbound billing inquiries and outbound payment follow-ups
- Maintaining organized billing records and supporting workflow improvements
- Reviewing attorney time entries and preparing accurate billing reports
- Responding to billing inquiries and communicating professionally with clients
- Following up on past-due balances, collections, and payment plans
- Monitoring client retainers and sending replenishment requests when balances are low
- Managing billing, invoices, trust balances, and payment records in Clio
What We're Looking For:
- Experience in legal billing, preferably in family law
- Detail-oriented with strong accuracy in financial data
- Professional written and verbal communication skills
- Ability to handle sensitive billing discussions with discretion
- Highly organized and able to manage multiple deadlines
- Strong understanding of trust accounting and legal billing compliance
- Comfortable working remotely and collaborating with attorneys and staff
- Confident handling both inbound and outbound client calls
- Bilingual English Spanish communication proficiency
- Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
- Quiet, distraction-free remote work environment
