We're looking for a highly organized and detail-oriented Service & Parts Coordinator to support our growing service department. This position is the operational backbone of our service team, ensuring inventory, work orders, purchasing, and billing are completed accurately and efficiently.

Role Overview

The Service & Parts Coordinator is responsible for ensuring every service job is properly documented, parts are available, inventory is accurate, and customers are billed correctly.

You will work closely with the Service Manager and our technicians to keep repairs moving efficiently while maintaining accurate records within Odoo.

Success in this role requires exceptional organization, attention to detail, and a commitment to accuracy.

Key Responsibilities

Inventory & Parts Management

- Receive incoming inventory and verify quantities and condition.
- Register all inventory accurately within Odoo.
- Maintain organized inventory locations and stock levels.
- Perform regular inventory counts and reconcile discrepancies.
- Purchase consumables, replacement parts, and shop supplies as directed.
- Track supplier orders and ensure timely receipt of goods.

Service Administration

- Collect completed mechanic work orders.
- Review work orders for completeness and accuracy.
- Register labour, parts, and service details within Odoo.




- Prepare accurate service quotations for customer approval.
- Ensure work orders are ready for customer invoicing.

Billing & Documentation

- Prepare customer invoices for completed service work.
- Ensure parts used are properly allocated to work orders.
- Maintain complete service records within Odoo.
- Assist in maintaining service history and documentation.

Quality Control

- Complete quality control inspections prior to vehicle delivery.
- Verify completed work matches customer requests.
- Ensure vehicles are clean, complete, and ready for customer pickup.
- Identify and communicate any deficiencies before delivery.

What Success Looks Like

- Inventory is accurate and up-to-date.
- Work orders are entered correctly with minimal errors.
- Customers receive accurate quotations quickly.
- Mechanics always have the parts they need.
- Vehicles pass quality control before delivery.
- Billing is timely and accurate.

Required Skills & Experience

- Previous experience in administration, inventory, purchasing, or service coordination.
- Strong organizational and multitasking abilities.
- Excellent attention to detail.
- Strong computer skills - ccomfortable using Microsoft Office and business software (Odoo experience is an asset).
- Strong written and verbal communication in English and Spanish.
- Mechanical knowledge is an asset but not required.

Sueldo: $25,000.00 - $35,000.00 al mes
