The Opportunity
We are hiring a bilingual Spanish-English Executive / Legal Assistant to support firm operations with a strong focus on client intake, lead follow-up, client communication, and case administration
.
This is not just a passive administrative role. We are looking for someone who is highly organized, confident on the phone, detail-oriented, and able to help move prospective clients through the intake pipeline while also supporting legal and operational workflows.

What You’ll Do Client Intake & Lead Follow-Up
- Answer and screen inbound calls, texts, chats, and emails with professionalism and empathy
- Conduct client intake by gathering facts, identifying urgency,
and ensuring complete information is collected
- Follow up with leads using a structured process and strong speed-to-lead habits
- Build trust with potential clients, explain next steps clearly, and help move matters through the pipeline
- Maintain accurate notes, statuses, and updates in the CRM and case management systems
- Help improve follow-up quality and conversion results
Client Communication & Case Support
- Provide timely updates so clients feel informed and supported
- Organize documents such as medical records, billing records, correspondence, and claim-related materials
- Assist with pre-litigation administrative tasks and other time-sensitive requests
- Calculate and track deadlines as assigned
- Coordinate with internal team members to keep cases and operations moving efficiently
Administrative & Operational Support
- Maintain organized workflows using firm systems, templates, and checklists
- Draft and send routine communications using approved firm language
- Keep files clean, complete, and up to date across systems
- Take ownership of recurring tasks and special projects that improve operations
Required Qualifications
- Fluent in Spanish and English , both verbal and written
- At least 1 year of sales, intake, lead follow-up, appointment setting, or client conversion experience
- At least 1 year of experience in an administrative assistant, executive assistant, legal assistant, or operations support role
- Strong phone presence: confident, warm, professional, and able to ask structured questions
- Strong attention to detail, follow-through, and time management in a remote environment
- Proficiency with Microsoft Office, including Word, Excel, and Outlook
- Reliable high-speed internet and a quiet, professional workspace
- Availability to work Pacific Time business hours
Preferred Qualifications
- Prior intake experience at a U.S. law firm
- California personal injury experience
- Experience with CRMs and case management tools such as Lawmatics, Clio, ClickUp, or similar platforms
- Familiarity with pre-litigation workflows and client communication standards

Compensation & Benefits
- Base pay: $8–$10 USD/hour ($1,280–$1,600/month), depending on experience
- Quarterly performance-based bonuses
