scalable processes that enable Fair Trade USA to operate efficiently and securely.The role combines hands-on execution with continuous improvement, helping strengthen our internal infrastructure in service of our mission.Key ResponsibilitiesIT Service Coordination & Partner ManagementServe as the primary point of contact between Fair Trade USA and our external IT provider across helpdesk, infrastructure, and security servicesTriage, route, and track IT requests through resolution, ensuring a responsive and positive staff experienceFacilitate ongoing partnership through regular service reviews, issue tracking, and performance monitoring (e.g., SLAs, recurring issues)Translate technical updates into clear, accessible communications for staff and leadershipReview and validate external IT partner deliverables and reports to ensure accuracy and alignment before escalation to leadershipIdentity & Access Management (Okta)Administer Okta, including user provisioning/deprovisioning, group management, and SSO configurationEnsure secure and role-based access through regular access reviews and governance practicesMonitor system logs for unusual activity and coordinate with security partners as neededMaintain accurate application and access inventories to support compliance and operational integrityEmployee Lifecycle SupportDeliver a seamless onboarding experience, including account setup, hardware coordination, and Day 1 readinessSupport new hire IT orientation, empowering staff to effectively use tools and resourcesExecute secure and timely offboarding, including access removal, asset recovery, and data transfer coordinationPartner closely with HR and hiring managers to align on timing and role-specific needsProcess Improvement & DocumentationBuild and maintain clear, user-friendly documentation, SOPs,



and self-service knowledge resourcesDevelop runbooks for recurring issues to drive consistency and efficiencyIdentify opportunities to streamline workflows and reduce manual effort through automation and improved processesClarify ownership boundaries across staff, contractor, and external partners to ensure effective service deliveryMaintain accurate audit trails for user provisioning, deprovisioning, and access changes to support security and compliance requirementsAsset & Software ManagementCoordinate procurement, deployment, and lifecycle management of hardware and peripheralsMaintain an accurate inventory of IT assets and software licenses, identifying optimization opportunitiesReporting & CommunicationProvide regular updates to leadership on IT operations, trends, and improvement initiativesSurface insights and recommendations based on recurring issues, system performance, and usage patternsCommunicate proactively with staff regarding system changes, outages, and enhancements in clear, mission-aligned languageProactively escalate unresolved or out-of-scope issues with recommended actions to ensure timely resolutionKey Qualifications / ExperienceExperience managing IT operations in a mission-driven, nonprofit, or values-based organization, with an emphasis on service and collaborationHands-on experience with identity and access management platforms (Okta strongly preferred)Proven ability to partner effectively with external IT vendors and manage service delivery outcomesStrong working knowledge of user lifecycle management, including onboarding, offboarding, and access governanceExperience creating process documentation, SOPs, and knowledge base content that supports self-service and operational consistencyFamiliarity with IT security fundamentals, including MFA, access reviews, and incident response coordinationAbility to translate technical concepts into clear, accessible language for non-technical audiencesDemonstrated strength in organization, prioritization, and follow-through in a fast-paced, service-oriented environmentCommitment to continuous improvement, equity, and supporting diverse general teams through inclusive technology practices
