A Event Coordinator is a key asset in any company that organizes corporate events, as they act as the bridge between the client, suppliers, the internal team, and the final execution. Their role ensures that everything flows with precision, quality, and without improvisation.

The Coordinator is responsible for:

Integrating elements such as logistics, participants, venue, technology, suppliers, timelines, permits, catering, among others, so they function in a coherent way

Ensuring that the client receives exactly what they requested and guaranteeing a satisfactory experience

Minimizing risks and resolving issues before they escape

Optimizing costs and resources

Maintaining clear and constant communication with all parties involved

Responsibilities

Plan and coordinate events from start to finish, ensuring that all details are covered and that the client's objectives and budget are met.

Manage event logistics, including venue selection, catering, transportation, and accommodations.

Collaborate closely with creative and design teams to ensure that the event’s aesthetics and experience meet BI WORLDWIDE’s quality standards.

Develop and maintain strong relationships with suppliers, partners, and contacts across Latin America to guarantee excellence in event execution.

Expand the client portfolio by attracting new business through their extensive network of industry contacts and relationships.

Supervise and lead work teams during event execution,



ensuring effective coordination and a high level of client satisfaction.

Stay up to date with industry trends and best practices to deliver constant innovation and high-quality service.

Requirements

Minimum of 3 years of experience in planning, coordinating, and successfully executing events for large audiences across Latin America

Bachelor’s degree in business, marketing, communications, or related fields

Extensive network of contacts and partners in the travel, events, entertainment, and technology industries

Proven skills in supplier negotiation and efficient budget management

Ability to work under pressure and meet tight deadlines without compromising quality

Excellent verbal and written communication skills in both Spanish and English

Strong leadership skills and the ability to motivate and guide teams toward success

Experience operating events in Mexico or abroad

Creativity and flexibility

Excellent customer service

Strong attention to detail

Valid visa and passport

Availability to travel

Familiarity with IATA airport codes and airlines

Knowledge of negotiations with hotels and local suppliers such as DMCs, restaurants, tour operators, etc.
