**Job Title**: Program Coordinator
**Location**: Guadalajara Office
**Type**: Full-time (40 hours/week)
**Work Schedule**: 9:00 AM - 6:00 PM Mexico City Time (Monday to Friday)
**Overview**
LATAM Partners is hiring a Program Coordinator to support a **U.S.based technology and professional services company** administering California State public sector contracts. This role serves as the central coordination point between customers, project managers, engineering teams, subcontractors, distributors, and internal operations.
**Key Responsibilities**
Contract Administration
- Maintain all contract documentation, amendments, and modifications
- Track contract deliverables, milestones, and Statements of Work (SOWs)
- Review customer requirements and ensure compliance with State contract terms
- Track insurance certificates, certifications, and subcontractor documentation
Program Reporting
- Prepare monthly program status reports and weekly executive summaries
- Maintain executive dashboards
- Track open opportunities, active projects, revenue forecasts, backlog, change orders, risk logs, action items, and lessons learned
Project Coordination
- Schedule kickoff and customer meetings; prepare agendas and minutes
- Track action items and follow up until closure
- Monitor project schedules and escalate risks
Customer Communications
- Serve as administrative liaison for customers
- Coordinate documentation requests, approvals, and submissions
- Support project closeout documentation
Procurement & Vendor Coordination
- Coordinate with distributors and subcontractors
- Track purchase orders, deliveries, RMAs, and lead times




Financial Coordination
- Support Accounting with budgets, billing milestones, invoicing, outstanding invoices, and revenue forecasting
Documentation Management
- Maintain SOWs, change orders, quotes, purchase orders, schedules, as-builts, acceptance forms, sign-offs, and engineering deliverables
Compliance
- Ensure compliance with CalNET requirements, customer reporting, insurance, Small Business/DVBE requirements, safety documentation, and contract deliverables
Executive Support
- Prepare executive presentations and KPI dashboards
- Track strategic initiatives and program health for executive meetings
**Qualifications**
Must-Have
- 3-5 years of project coordination, program coordination, contract administration, or PMO experience
- Excellent written and verbal communication
- Exceptional organizational skills and attention to detail
- Ability to manage multiple projects simultaneously
- Experience coordinating meetings and maintaining action items
Nice-to-Have
- Knowledge of public sector procurement (federal, state, or local government)
- Familiarity with IT infrastructure or professional services
- Prior experience supporting U.S.based clients
**Technical Requirements**
Must-Have




- Microsoft Office — advanced Excel, Word, and PowerPoint
- Ability to build and maintain dashboards, trackers, and executive reports
Nice-to-Have
- QuickBooks Online

**Language**
English level: B2+ minimum required. Bilingual (English/Spanish) preferred.
**Location Requirement**
Remote - Must be based in Mexico. This is a full home office position aligned to Mexico City business hours.

- 95%+ documentation accuracy
- Zero missed contract deadlines
- Action items updated within 24 hours
- Weekly executive dashboard delivered on time
- Purchase Orders tracked within one business day
- Customer documentation requests completed within two business days
