About the Client
A fast-growing real estate investment firm specializing in residential property flips and rental portfolio management is hiring a Construction Project Coordinator to own procurement, budget tracking, and vendor coordination across multiple active projects.
The company operates with a lean, ~20-person team across several markets and is currently in its busiest season, juggling dozens of concurrent renovation and flip projects. Leadership values proactive, self-directed operators who can build and maintain systems without close oversight.

About the Role
Day-to-day, the Coordinator manages material procurement from vendors like Lowe's and Home Depot, tracks and reconciles invoices and purchase orders across multiple active projects, and maintains real-time budget records in Google Sheets and the company's CRM. The role also includes phone-based coordination with contractors, subcontractors, and vendors, plus keeping compliance documentation — W9s, insurance certificates, permits — current and organized.
Success means leadership no longer has to chase down budget status or missing paperwork: projects stay on track, costs stay visible, and the Coordinator proactively flags issues before they become problems.

Core Responsibilities
Procurement & Vendor Coordination
Order construction materials from vendors based on project specs and crew requests




Track and reconcile invoices, receipts, and purchase orders across multiple active projects
Coordinate delivery schedules to ensure materials arrive on time for project milestones
Set up new vendors on ACH payment systems and maintain payment schedules
Budget Tracking & Financial Admin
Maintain real-time budget tracking in Google Sheets for all active projects
Tag transactions to the correct projects and flag cost overruns before they escalate
Support month-end budget reconciliation and reporting
Track and document receipts for on-site crew expenses
CRM & Project Documentation
Input project details, contractor info, and job specs into the company's CRM system
Maintain organized records for contracts, permits, and compliance documents
Collect and file W9s, insurance certificates, and permit documentation for subcontractors
Support permit acquisition and submission for new projects
Contractor & Crew Communication
Collect onboarding paperwork from subcontractors and vendors
Relay project updates, schedule changes, and material arrival info to crews
Assist with contractor prospecting and vetting as bandwidth allows
Requirements
Must-Have
2+ years of experience in a construction, remodeling, or roofing industry admin, coordination, or project support role
Hands-on experience with material procurement and vendor ordering (e.g., Lowe's, Home Depot, specialty suppliers)




Experience tracking and reconciling invoices, purchase orders, and budgets across multiple concurrent projects
Proficiency in Google Sheets for real-time budget and project tracking
Experience with a CRM or project management platform (Podio or comparable)
B2+ English (CEFR) for coordination with US-based leadership and internal teams
Nice-to-Have
Experience with Hover, Roofr, or CubiCasa (or similar measurement/estimation tools)
Bilingual proficiency in Spanish for coordinating with Spanish-speaking subcontractors and crews
Prior experience in real estate flipping or residential renovation project support
Experience with permit acquisition and compliance documentation
Familiarity with QuickBooks, Bill.com, or similar construction accounting platforms
