Executive Assistant to the CEO
Location: Fully Remote (CST preferred)
Employment Type: Full-Time
Salary: MXN 17,000/month
About the Role
We’re hiring a proactive, emotionally intelligent Executive Assistant to the CEO to help scale his leadership with a sharp focus on supporting sales activities and strategic growth initiatives. This role is essential to sustaining momentum: from managing calendars and follow‑ups to ensuring no opportunity falls through the cracks.
You’ll coordinate meetings, prep sales materials, track pipeline activity, and maintain CRM hygiene — all while supporting day‑to‑day logistics that allow the CEO to stay focused on high‑level relationships and creative vision. You don’t need to be a salesperson, but you must love making sales happen by keeping operations smooth, timely, and smart.
What Success Looks Like
- The CEO’s schedule runs smoothly, aligned with his energy and business priorities.
- CRM (Pipedrive) stays clean, current, and reflects real‑time sales activity.
- Follow‑ups and next steps from meetings are consistently captured and actioned.
- Sales decks, briefs, and prep materials are polished and timely.
- CEO is freed up to focus on vision, relationships, and creative leadership.
- Sales operations are organized and documented to help scale the CEO’s impact.
Core Responsibilities
Calendar & Communication Management
- Manage CEO’s schedule with foresight and flexibility.
- Send professional follow‑ups, reminders,
and meeting confirmations.
- Support clear internal communication with key team members.
Sales Operations Support
- Track sales meetings and follow‑up tasks from first contact to close.
- Maintain and update CRM data (Pipedrive) regularly.
- Prepare light decks, call agendas, and sales prep documents.
- Monitor deal flow, ensuring consistent forward motion.
- Help gather and organize case studies, bios, and related assets.
Administrative & Strategic Support
- Book travel, coordinate briefings, and support virtual/in‑person events.
- Assist with light reporting and process documentation.
- Serve as an operational partner to the CEO — keeping small things off his plate and big things moving forward.
Must‑Haves
- Strong English communication skills (written and verbal).
- 2+ years of experience supporting executives or managing sales coordination.
- Proactive, calm, and solutions‑oriented under pressure.
- Excellent organization and time management skills.
- Proficiency with Google Workspace, Slack, Notion, Calendly, and CRMs like Pipedrive.
Nice‑to‑Haves
- Experience in creative, media, or immersive industries.
- Light design skills for decks or marketing materials (Slides, Keynote, Canva).
- Familiarity with supporting fast‑moving founders or sales leadership.
