**Maintenance Coordinator (Remote - Mexico)**
**About the Role**:
As our **Maintenance Coordinator**, you’ll play a critical role in ensuring tenants receive timely maintenance services while keeping costs low for property owners. You’ll work closely with our **Property Manager** and **Assistant Property Manager** to coordinate repairs, communicate with tenants and vendors, and make data-driven decisions about maintenance solutions.
We don’t just need someone to take calls and dispatch vendors, we need someone **inquisitive**.
You must be able to ask **the right questions** when evaluating work orders and contractor estimates:
- **What is the real cause of the problem?**:
- **Are there alternative solutions that would be more cost-effective?**:
- **Is the proposed repair necessary, or is it cosmetic?**:
- **Is the estimate fair and properly itemized?**
This role requires someone with strong **analytical thinking, problem-solving skills, and attention to detail**, making it an excellent fit for someone with an **engineering background** or similar technical expertise.
**Key Responsibilities**:
- **Troubleshoot & problem-solve incoming work orders**:
- Investigate and define the source of maintenance issues.
- Troubleshoot solutions with tenants before dispatching a technician.
- Ensure repairs align with cost-control measures.
- **Schedule and coordinate contractors**:
- Assign and schedule the right vendors for efficient resolution.
- Plan and oversee property turnovers (move-ins/move-outs).
- Track work order progress and completion.
- **Analyze & process invoices**:
- Review contractor invoices, ensuring accurate charges.
- Challenge any discrepancies and negotiate when needed.
- Approve payments for successfully completed jobs.
- **Estimate creation & cost analysis (occasional)**:
- Review and create estimates for projects based on scope.
- Understand cost, time, and material components for various jobs.
- **Document progress & maintain records**:
- Keep detailed notes on issues, solutions, and costs.
- Log all vendor interactions and tenant communications.
- **Effective communication with stakeholders**:
- Serve as the point of contact for tenants, vendors, and property managers.
- Provide clear updates and set realistic expectations for all parties.
- **Project management & multitasking**:
- Manage multiple ongoing projects simultaneously.
- Ensure timely completion of work orders and maintenance projects.
- Prioritize tasks effectively based on urgency and impact.
- **Measure & report key maintenance metrics**:
- Track performance, costs, and vendor reliability to optimize processes.
**What We’re Looking For**:
- **Fluent English (written & spoken)** - You’ll be communicating daily with tenants and vendors in the U.S.
- **Engineering degree or strong analytical background** - Ability to think critically and solve technical problems.
- **Project management skills** - Ability to oversee multiple work orders and prioritize efficiently.
- **Scheduling expertise** - Experience in efficiently coordinating maintenance vendors.
- **Experience with home maintenance** - General knowledge of home repairs is a plus.
- **Excellent organization & attention to detail** - Ability to keep accurate records and manage tasks independently.
- **Problem-solving mindset** - Ability to analyze situations, ask the right questions, and find the best solutions.
- **Strong communication skills** - Ability to be clear, professional, and empathetic with tenants, vendors, and team members.
- **Self-motivation & accountability** - Ability to work remotely and manage responsibilities effectively.
