Position Overview

We are seeking a highly experienced Executive Assistant who operates with precision, discretion, and a strong customer-first mindset. This role goes beyond calendar management — it requires strategic coordination, executive-level communication, and the ability to represent leadership professionally with clients, partners, and internal stakeholders.

The idóneo candidate is proactive, detail-oriented, emotionally intelligent, and understands that executive support is directly tied to client satisfaction and operational excellence.

Key Responsibilities

Executive Support

- Manage complex calendars, scheduling, and priority alignment
- Coordinate domestic and international travel arrangements
- Prepare executive briefings, reports, and presentation materials
- Draft and manage high-level correspondence
- Track action items and ensure timely follow-through

Customer & Stakeholder Engagement

- Serve as a professional liaison between executives and clients
- Ensure timely responses to client inquiries and escalations
- Support preparation for client meetings, proposals, and presentations
- Maintain CRM records and client communication logs




- Monitor customer feedback and escalate issues when necessary

Operations & Coordination

- Organize executive meetings, board sessions, and leadership calls
- Coordinate cross-functional initiatives and follow-ups
- Support confidential documentation and contract management
- Improve administrative processes to enhance executive efficiency
- Anticipate executive needs before they arise

Qualifications

- 5+ years of experience supporting C-level or senior executives
- Proven experience interacting with clients or external stakeholders
- Exceptional written and verbal communication skills
- Advanced proficiency in Microsoft Office or Google Workspace
- Experience with CRM systems (e.g., Salesforce, HubSpot, Dynamics) preferred
- Strong organizational and time management skills
- High level of discretion and confidentiality
