This role supports office logistics, safety compliance, and employee experience. Responsibilities include overseeing building services, supplies, space planning, and budgeting.
Responsibilities and Duties
- Oversee maintenance and repair of office equipment, furniture, and infrastructure
- Coordinate with vendors for cleaning, security, HVAC, and other building services
- Ensure compliance with local health, safety, and building regulations
- Support space planning, seating arrangements, and workplace moves
- Manage office supplies inventory and procurement
- Coordinate mail, courier, and logistics services
- Oversee reception services and meeting room management
- Support company events, visitor logistics, and employee engagement activities
- Manage vendor contracts, invoices, and service-level agreements
- Track and report facilities budget and expenses
- Negotiate with providers to ensure cost-effectiveness and quality
- Monitor workplace safety standards and emergency preparedness
- Maintain records related to inspections, permits, and compliance requirements
- Act as liaison with property management and external authorities when needed
Required Skills/Abilities
- Proactive and detail-oriented
- Strong interpersonal and vendor management skills
- Ability to work independently and collaboratively
Education and Experience
- Bachelor’s degree in Administration, Facilities Management, Industrial Engineering, or related field
- 1-2 years of experience in facilities coordination, office management, or workplace operations
- Strong organizational and multitasking skills
- Knowledge of local regulations (NOMs, Public Safety, health & safety).
- Proficient in MS Office Suite and familiar with workplace management tools.
- Excellent communication and problem-solving abilities
- Advanced English (written and spoken)
