Descripción y Requisitos



KEY RESPONSIBILITIES



Preparation of Reports



Control of requisitions overhead



Planning of department events



Administrative support : Nominee correction, Over time, Control of meeting rooms, Agenda management, Travel reservations, etc.



Manage confidential information with extreme care and trust



Manage ALL travel bookings, airfare, car, hotels, - All staff



Manage BSC reporting PowerPoint Presentations



Monitor travel expenses compliance with corporate guidelines



Track travel expenses to Budget Plan



SAP reports to support Data integrity and business processing- TM1.



Coordinate as needed with other Assistants & Clerks for compliance, coordination, and support functions





Support director in all their duties and effectively carry out assigned responsibilities



Ensure consistent and smooth implementation of daily operational procedures



Communicate with the director to determine daily responsibilities for ongoing projects



Assist in strategic business planning and analysis



Implement new procedure or operational changes



Help facilitate clear and consistent communication between departments



Take and deliver important messages to the director



Maintain calendars and schedule necessary meetings, calls, etc.



Prepare, organize, and file office documents



Take notes and keep minutes during relevant departmental meetings



Liaise with clients and employees to ensure satisfaction



Interact with the public and represent our organization in a professional manner



Documents Translation English / Spanish, French optional.



Be a knowledgeable resource in matters related to our business



Manage expatriate issues - Bills, Bank, and Utilities, Rentals - 30%



Support ALL Expense reports



Invoicing management - Obtain and secure all Bills- Tax complaint



Perform all necessary daily clerical tasks director requires (phone calls, emails, etc.)



Assure the front desk responsibility



Keeping all interested in a good mood!



QUALIFICATIONS AND SKILLS



Schooling, preparatory career, technical career, desirable professional.



Experience in administrative areas



Computer skills (Excel, Word, Powerpoint, etc.) is a must.



Bilingual English-Spanish 90%



SAP / TM1
