Role Summary/Purpose: The Executive Assistant is responsible for defined work
or projects with moderate complexity. In this role you will follow an
individual work plan and meet day-to-day short-term objectives and resolve
issues through immediate action or short-term planning.
Essential Responsibilities: .Manage 3 Sales Region that consists of 3 Region
Executives and ~ 80 Sales people: handle onboarding of new employees, exiting
of employees, manage fleet of sales people, order and manage supplies; manage
office equipment leases such as copiers etc.
.Provide overall office management and administrative duties such as phone
coverage, call screening
· Establish and maintain strong communication links with other Commercial
administrative personnel
· Proactively coordinate the executive’s calendar, which is comprised of a
heavy meeting schedule and extensive travel
. Proactively manage Inbox of executive to watch for urgent emails; forward
and take action on as many emails as possible
· Plan, schedule, and arrange business meetings and travel itineraries;
maintain passport and visa requirements; prepare and reconcile expense
accounts for the Division
· Make travel arrangements and coordinates itineraries
· Process T&L; expenses for the executive
· Prepare presentations, reports, spreadsheets, meeting minutes and other
business information
. Direct phone calls and inquiries to appropriate personnel
. Manage special event ticket purchases for Region ensuring within budget
· Provide discrete and confidential coordination of sensitive company
· Use discretion in interfacing with all levels of individuals, internally and
· Anticipate needs and accomplishes responsibilities without direction
· Manage Base Cost for Region – Run reports on monthly basis and analyze data
for actuals vs OP for Comp & Benefits, Communications, T&L;, Office
Supplies, .Purchased Services, A&SP;, Education. Ensure all expenses are
.Advise of problem areas and forecast where might exceed OP as well as
suggested actions to mitigate risk. Analyze all data by District with specific
action plans for each district for improvement in performance.
.Utilize data to develop cost saving ideas in areas of communications,
reproductions, office costs etc. Work with the Sales Directors to update them
on regular basis on their performance to OP.
. Claims coordinator for region; daily assign all incoming clams to
appropriate salesperson in the region, act on and close out incoming resolved
. Analyze concessions and aged claims data for Region and by district; ensure
meet OP and all goals; initiate calls with district if necessary to resolve
claims; perform root cause analysis on concessions and determine who highest
repeat offenders are; develop correction action and prevention plan
.Prepare, evaluate, and edit incoming and outgoing communications for the
· Manage multiple projects and priorities and initiates follow up to ensure
timely achievement of commitments
Qualifications/Requirements: Bachelor’s degree from an accredited university
or college (or a high school diploma / GED with a minimum of 4+ years of
experience in an executive or administrative assistant position)
